   GFWC Kentucky President Pat Harrington hereby calls all club members, members-at-large, and associate organizations to attend the 2019 GFWC Kentucky Annual Convention.     All members of GFWC Kentucky are hereby called to attend the 124th Annual Convention to be held May 10-11, 2019, at Embassy Suites by Hilton Lexington Green in Lexington, Kentucky, where we will be celebrating the 125th anniversary of our founding (one convention was cancelled because of WWII conditions). 

 The purpose of the convention is to celebrate, receive reports, hold elections, and conduct other business.  We will be nominating Peggy Barnes for Southeastern Region President as this is a necessary step for her to run for the office.  We will also be electing a new member to the Headquarters Committee since one member rotates off each year.  Bylaw changes will be brought before the convention.  Brief reports will be given.  Fun, fellowship, and educational opportunities will be highlighted.  Most of all, we will celebrate those who have gone before us, our current clubs and members, and those clubs and members who will be our future.    

Per repeated requests from members, we are cutting down on the number of speakers, the length of sitting time without breaks, room costs, and the cost of meals.  We are looking to leave time for socializing, shopping, and regrouping.   A hot, prepared to order breakfast as well as an evening reception complete with drinks and snacks are free for hotel guests!  

Shopping is just around the corner at Lexington Green Mall and Fayette Mall.  Bring your smiles, hugs, and laughter.  Be happy.  After all, this is our family reunion.  Speaking of families, we will be finished early enough Saturday afternoon for you to get back home for Mother’s Day on Sunday.

As a GFWC Kentucky member staying at Embassy Suites by Hilton Lexington Green we’ll enjoy spacious two-room suites, FREE made-to-order breakfast, and COMPLIMENTARY beverages and snacks at the nightly evening reception.  Each suite contains a private bedroom with either two double beds or 1 king and an HDTV.  The separate living area has a sofa bed, HDTV, microwave, mini-fridge and work desk.  Each suite has a shower/tub or walk-in shower.  Outside you can relax lakeside or enjoy an outdoor patio and green spaces.  During our free time, shopping is steps away.    GFWC Kentucky’s Group Rate for up to 2 people ($139 plus tax for two double beds suite or 1 king bed suite) is open! The room block closes on Tuesday, April 9. Room reservations can be cancelled up to 48 hours before scheduled arrival. Convention Information (Subject to Change)   

REGISTRATION   Delegate cards will be turned in when you register at the convention in order to get your convention program, name tag, meal tickets, and other information.   

Registration Hours:             

Thursday, May 9      12:00 noon – 2:00 p.m.; 4:45 – 6:45 p.m.          

Friday, May 10 -       7:00 – 9:00 a.m.; 12:00 noon – 1:00 p.m.; 4:45 – 6:45 p.m.           

Saturday, May 11     8:00 – 9:00 a.m.   

Should you arrive outside the registration hours and must register during a break, please see Martha Crafton or Gaye Gardner. Per our Bylaws, the registration fee for the convention is $20.  To aid in planning, a one day registration for $20 is also offered.     

SILENT AUCTION   Each club is asked to bring a basket of food or food-related items for the silent auction.  Examples would be a wine basket complete with glasses, cheese, and crackers; bourbon and bourbon balls; cornmeal, jams, and jellies; country ham, biscuit mix, and grits; and Kroger gift cards.  Use your imagination for what will bring in the most money.  Title your basket to reflect what is inside.  Please complete the sheet describing the basket which is included in this Call.  The club whose basket receives the highest bid will be recognized.  We are not going to be nickel and diming clubs, so you are asked to participate in this much needed fundraiser.  Make your club proud!   Baskets can be turned in during registration hours or by seeing Fundraising Chairman Diane Taylor.    

The Silent Auction will end at 11:30 Saturday morning.  Winners will be announced during the afternoon session.  Be sure to make arrangements with a friend to pick up the item(s) you won should you have to leave beforehand.    

 VENDORS   Another benefit to belonging to GFWC Kentucky!  Members will be given first choice of available vendor space at the rate of $50.  Outside vendors will be charged $150.                 

 BOOK SWAP   Bring a gently used book or two for the book swap sponsored by ESO Chairman Angelique Puckett.          

104 SOCIETY   Maintaining our Headquarters in Frankfort is an ongoing job.  It is much better to take care of everyday maintenance than to wait until a catastrophe occurs.  That is the purpose of the 104 Society.  The convention gives us an opportunity to support this project.  Donation levels are:  (1) $10.40 – recognized by ribbon to be attached to Convention Name Badge; (2) $104.00 – recognized by ribbon attached to name badge plus a beautiful doorknocker pin; and (3) “K” Society - $1040.00 – attend a special reception at the convention plus be recognized by ribbon and doorknocker pin.  All contributions are tax deductible and all members who donate at these levels will be listed in various publications.  Membership runs from convention to convention.  A form for 104 Society Membership will be included in the Registration packet or you can join at the Squirrel’s Nest Marketplace during convention.      

SEVEN GRAND INITIATIVES   During this GFWC administration there are “7 Grand Initiatives” with each of them having 1,000 as a goal.  We are not doing all seven at convention.  However, two that can be easily done at no additional cost to you are the donation of used shoes and joining the GFWC Legislative Action Center (LAC).    Soles 4 Souls is a nonprofit organization that uses donations of gently used shoes to provide meaningful economic opportunity and shoes for those in need around the world.  Nike’s “reuse-a-shoe” recycles athletic shoes at the end of their lives to make performance products ranging from new footwear and apparel to sports surfaces.  Bring one, two, or even more pairs of shoes to convention that are no longer worn and are taking up room in your closet.  The Legislative Action Center is a powerful tool for GFWC’s public issues and advocacy efforts. Through it you can track bills, contact your local representative, and take action on issues germane to GFWC Resolutions.  Sign up at convention for the GFWC Legislative Action Center if you have not already done.     

50-YEAR MEMBERS   Club Presidents.  GFWC Gold Pins are available to honor clubwomen who have brought GFWC’s mission of volunteer service to their communities for 50 years. These pins are available free of charge. Club presidents can order the pin directly from GFWC Headquarters through Membership Services by completing the Gold Pin Order Form.    However, if your 50-year member will be attending convention, she can receive special recognition with the presentation of her pin during the 125th Celebration banquet.  If you choose this option, the deadline is by no later than April 9 as it takes time to receive the pins from GFWC.  Send the names of club members celebrating 50 years of service to gfwckypresident@gmail.com to have pins ordered.      

MEMORIAL SERVICE   Club Presidents, please make sure to send in the names of your club members who have passed away since the last convention so we can honor their lives and service.  The form for the Memorial Service will be sent in the Registration packet.     

BYLAWS AND STANDING RULES         First of all, raise your hand and promise not to let voting on the ESO Constitution and Bylaws, the proposed amendments to GFWC Kentucky Bylaws, and the proposed amendments to GFWC Kentucky Standing Rules discourage you.    The proposed amendments to the GFWC Kentucky Epsilon Sigma Omicron – Alpha Lambda Chapter were submitted by ESO Chairman Angelique Puckett.  They have been read by Parliamentarian Ruth Ryan. These documents will be presented for approval by the assembly.  Once approved, all future amendments will be voted upon by ESO members only at their annual meeting.   The proposed bylaw and standing rules amendments were submitted by the GFWC Kentucky Bylaws Committee.  The committee recommends adoption of all proposed amendments.  These have been reviewed by the parliamentarian and will be presented for approval by the voting body at the convention.    Please bring your own copy of these documents as no copies will be available.  These will be printed in the Convention Issue of The Kentucky Clubwoman.     

WHAT TO WEAR   In general, emphasize personal comfort and individual taste.  Dressier versions are perfect for those who wish to do so, but so is a slightly dressier version of your most casual look.  For the Thursday evening Board of Directors meeting, clothes that you would wear to church are appropriate.  For the morning and afternoon sessions on Friday and Saturday, casual dressy with perhaps club shirts and jeans or capris and a colorful shirt.  The 125th Celebration on Friday night is an once-in-a-lifetime opportunity and we will want to dress in a festive manner.  That could be a period costume from 1894 or cocktail attire.  We want to let our light shine, so clothes that sparkle are also good.  The most important part is that you are there, not what you wear.     

SQUIRREL’S NEST MARKETPLACE         “A shopping we will go, a shopping we will go….”     The Squirrel’s Nest will be open.  You will be able to buy GFWC International and GFWC Kentucky logoed items as well as new merchandise suitable for gifts and personal use.  Are there items you would like to be sold?  Any old favorites that need to make a comeback?   Would you be willing to pay for more expensive items?  Let us know so we can look into getting what members want and need.

PRE-CONVENTION   LEADERSHIP EDUCATION AND DEVELOPMENT SEMINAR   THURSDAY, MAY 9  

 8:00 a.m. – 1:00 p.m.  Club presidents are encouraged to attend LEADS and to bring members who are or wish to be leaders at the club, district, and state level.  Gain confidence, learn how to make public speaking fun, hear more about GFWC Kentucky and how club members are the lifeblood of the organization, discover why membership in GFWC is important, how to deal with conflicts, and other tips on leadership that can make you and your club grow.  Please register so that presenters can be prepared.   This seminar will be the only one offered at this time so that not only club leaders but governors, vice governors, directors of junior clubs, and chairmen can attend.

The preconvention Board of Directors meeting will take place at 7:00 p.m.  The meeting is open to all members who wish to attend.  Since we must have 35 members of the Board for a quorum, please make a special effort be there.  The Board, among other business, will be asked to approve a charter for a Juniorette club sponsored by the Morgan County Woman’s Club.

 8:00 – 9:15 a.m. PRESIDENTS EMERITI, PAST GOVERNORS, AND PAST DIRECTORS OF JUNIOR CLUBS BREAKFAST  Complimentary breakfast for those staying in hotel.  Open only to GFWC Kentucky Presidents Emeriti, Past District Governors, and Past Directors of Junior Clubs.  Enjoy catching up with friends and greeting the newest members from the 2016-2018 administration.  A blast from the past!

CLUB SHIRT CONTEST   FRIDAY, MAY 10   Business meeting.   Does your club have a special shirt that only members can wear?  If so, select a member to represent your organization in the Club Shirt Contest.  A parade will be held during Friday’s afternoon’s business meeting.  Show everyone your shirt because you never know who will be judging the contest!  All club members can wear the club shirt but only one will participate in the parade.  No fundraising involved

 FRIDAY, MAY 10   6:00 – 8:30 p.m. HISTORICAL GFWC KENTUCKY QUASQUICENTENNIAL CELEBRATION    You are invited to join the historical quasquicentennial (pronounced kwäs kwē) anniversary of GFWC Kentucky celebration during the evening hours.  As this event is chaired by President Emeritus Pat Geveden and Sara Bell, you know it will be fun, exciting, and insightful.  Come dressed in period costume from any decade in the history of our 125 years.  This will be our most formal event with an excellent dinner menu.  Please attend and add your memories to this 125th anniversary event. 

FRIDAY, MAY 10   9:00 p.m.  JUNIOR FUN NIGHT    Continue celebrating with the Junior Fun Night.  Further information will be forthcoming.     

  SATURDAY, MAY 11   8:00 – 9:00 a.m EPSILON SIGMA OMICRON (ESO) ANNUAL MEETING.   Complimentary breakfast for hotel guests.  Books will be given away as door prizes during the meeting.      

ARTS, CRAFTS, NEEDLEWORK, PHOTOGRAPHY CONTESTS AND PRESS & SOCIAL MEDIA BOOK CONTEST   SATURDAY, MAY 11   

The arts, crafts, needlework, photography, and press/social media book contests will be held on Saturday, May 11.  Entries can be checked in that morning from 7:00 – 8:00 and must be checked out between 1:00 – 2:00 that afternoon 

  Entries will be open for viewing after judging is completed.
